The Black Friday promotional registration prices starting on November 28 are valid until November 30 for the specified registration categories. On these days, only immediate payment by credit card is possible.
Participants registering with a membership fee agree to settle any outstanding membership fees owed to the Association without delay. Please note that eligibility will be verified and the registration fee will be adjusted in the event of failure to pay the membership fee!
For credit card payments, an invoice will be issued in electronic format within 5 working days following the payment date and sent from regio10@kulcstavszamla.hu. The invoice will be prepared using the billing details provided during registration and sent to the contact email specified there.
For bank transfers, a proforma invoice required for the transfer will be sent electronically from regio10@kulcstavszamla.hu within 10 working days of registration, to the cost bearer name and email address indicated in the billing details. The proforma invoice will include the necessary bank information for the transfer and the reference number to be indicated in the payment details.
For registrations after April 14, payment by bank transfer is not available; only immediate credit card payment is accepted.
For registration categories requiring MFE membership, participants agree to promptly settle any outstanding membership dues with the Association. Please note that MFE membership will be verified, and failure to pay the membership fee will result in the registration fee being adjusted to the non-member category, with a proforma invoice sent for the difference.
After payment, an invoice will be issued referencing the proforma invoice number, based on the bank statement, to the email address of the cost bearer provided in the registration billing details.
Advance invoices are issued for corporate bookings; for individual participants, an advance invoice is only issued if the full fee is not paid at the time of registration. If an advance invoice is issued, the final invoice will be issued after the event, using the advance invoice. The date of performance for the final invoice is the last day of the event.
For international transfers, any foreign bank fees are borne by the sender. If bank charges are deducted from the transferred amount, they will be added to the final invoice as payable.
Any individual invoicing requests must be communicated in writing during registration or at the latest before payment/transfer to info@regio10.hu. Requests via phone or other verbal means cannot be accepted.
Issued invoices can only be canceled and reissued upon formal request after payment of an administrative fee of HUF 5,000 + VAT. Invoice cancellation and reissue without cost is only possible in cases of administrative errors by "RÉGIÓ-10" Ltd. The payment deadline on the new invoice is 8 days from the invoice issue date.
PAYMENT DEADLINE

For bank transfers, participation fees and ordered services must be paid to the bank account indicated on the proforma invoice within the stated payment deadline (Due Date).
The early bird registration deadline also serves as the deadline for paying the discounted fee. Early bird registration prices are valid until March 15, 12:00. After this deadline, full prices apply.
If payment is not received by the deadline, the regular registration fee will apply, and a new proforma invoice will be issued for the increased fee. For registrations made on the day of the discounted deadline or the preceding week, the payment deadline for the discounted fee will follow the date indicated on the proforma invoice (Due Date). After the registration and payment deadlines, a new proforma invoice will be issued for the increased registration fee, with the due date shown on the invoice.
CANCELLATION AND MODIFICATION CONDITIONS
All cancellations of registration and/or ordered services must be notified in writing to "RÉGIÓ-10" Ltd. at info@regio10.hu. Phone or verbal cancellations are not accepted. Non-payment of the proforma invoice does not constitute cancellation; therefore, written notification of cancellation is required. For postal cancellations, the date of cancellation will be the postmark date.
Refunds of paid fees are possible in the following cases:
Accommodation:
Free modification or cancellation without penalty is possible until the following dates. After these dates, accommodation costs are non-refundable, and the full value of ordered services is payable.

Registration: The deadline for free modification and cancellation of registration and services included in the participation fee is April 30, 2026. After this date, full payment for included services (coffee breaks and/or dinner) is required.
Social programs: The deadline for free modification and cancellation of social programs (lunch, gala dinner) is April 30, 2026. After this date, full payment for the ordered services is required.
Transfer of registration and accommodation: In case of cancellation after the deadline, registration and accommodation can be transferred. The name change must be submitted in writing with a new registration form to the organizer no later than May 1, 2026.
Refunds for cancellations made before the penalty-free deadline and for erroneous or duplicate payments will be processed within 30 days after the event, to the bank account of the payer only.
No-Show:
Organizers make every effort to ensure a successful congress. Please note that services, printed materials, accommodations, and meals ordered for the event cannot be modified after the given deadlines. Therefore, the organizers cannot waive payment for unused meals or unpaid participation fees. Invoices will be issued after the event according to the registration billing details and sent to the contact email provided.
Participation in Social Programs:
Participation in presentations, exhibitions, and meals (coffee breaks, lunches, and gala dinner) is possible via the QR code on the name badge. Please wear your name badge at all times.

Registration is required if the accompanying person shares accommodation with a participant and/or wishes to attend the gala dinner, but does not grant access to the scientific program. Cancellation and modification terms are the same as for conference participants.
